A subscription audit is a decision-making exercise. The aim is to understand what your team pays for, which work depends on it, and where there is room to simplify. Start with a complete inventory and make changes deliberately.
Build one inventory
Use billing statements and your existing admin accounts to identify recurring software charges. Record the product, account owner, billing frequency, renewal date, plan, and current amount. Keep credentials out of the sheet. Include subscriptions bought directly by team members so the inventory reflects the real working environment.
Ask what would happen if it stopped
For each tool, write down the work that depends on it. Ask the account owner when it was last used and what information needs to be retained. A low-usage subscription can still support an important occasional process. An apparently unused account may contain records you need to export before closing it.
Look for overlapping roles
Group products by the job they do: writing, scheduling, file storage, project tracking, lead management, or design. Consider whether a tool you already pay for can cover a secondary need adequately. Evaluate the cost of changing a working process before deciding that consolidation is worthwhile.
Choose keep, trial, or cancel
Keep a subscription with a clear role and owner. Give an uncertain tool a short review period with a concrete task. Cancel only after checking data exports, dependencies, account access, and the provider’s cancellation process. Retain the confirmation and check the next billing statement.
Make the review repeatable
Set a reminder before important renewals. Require a named owner and a short explanation of the intended outcome for new subscriptions. The process can be lightweight; its value comes from being easy to maintain.
