A useful first automation has a clear input, a limited scope, and an outcome someone can verify. An enquiry workflow is a good example: capture an incoming request, keep a record, and make sure the right person knows what to do next. This is a design guide, not a claim that a live integration is connected.

Define the intake

Choose one starting point, such as a website form. Decide which information is necessary to respond: a name, a reply address, and the nature of the enquiry may be enough. Explain how you will use submitted information. Avoid collecting sensitive details unless the process actually requires them.

Create a single working record

Decide where the team will manage the enquiry. Start with fields for the source, received time, owner, status, and next action. Assign a stable identifier so you can recognize the same request if an event is delivered again. Keep the original message accessible to the person handling it.

Notify the person responsible

Send an internal notification with enough context to act and a link to the working record. Choose a response target the team can maintain. If no one accepts ownership, surface the unassigned request in a list someone reviews. Keep automated external messages out of the first version until you have checked the process and applicable communication requirements.

Test the uncomfortable cases

Use sample submissions to check incomplete information, a duplicate request, a failed notification, and an enquiry arriving outside working hours. Verify that records can be corrected and that the team can see a failure. Decide how you will handle a request to delete or amend information.

Measure the handoff

For a small sample, check how long it takes to assign a request and whether the next action is recorded. Watch for repeated manual corrections. Adjust the form or workflow before adding more steps. A clear process is the foundation for useful automation.
